Management of budgets for entire event including, but not limited to: food and beverage, hotel costs, AV, tours, registration, transportation, gifts, sponsor and grant monies, etc.
Assist in development of grant packages and grant writing strategies for funding.
Coordinate and negotiate legal contracts with hotels.
Hotel arrangements including reservations, sleeping rooms, food and beverage selections and audio visual set ups.
Coordinate and manage online registration system including nametags, attendance lists, etc.
Create copy for promotional materials, Web site and advise on design
Coordinate pre-event promotion as determined by staffs.
Coordinate bus transportation.
Coordinate and manage interns and volunteers during event.
Manage shipping of materials to and from tour locations/hotels.
Coordination of necessary signage for event.
Reconcile hotel bill for final payments.
Meetings and conference calls as necessary. (travel expenses at cost)
