Services provided, but not limited to:
  • Total or partial coordination of events, creation and execution of marketing/advertising campaigns and general association management.
  • Work with staffs to establish budget and timelines for events.
  • Work with publicity departments to coordinate appropriate news releases and media information.
  • Create and produce all promotional elements for events including development of logos, signage and all printed pieces including   sponsor packets, general registration packets, pre-event promotion/informational pieces, and event programs. Includes coordination with printer and mail house.
  • Registration management which includes maintenance of lists and coordination with online registration provider and merchant account.
  • Distribute necessary pre-event communication including registration confirmation letter/materials, pre-registration lists to attendees
  • Maintain all distribution lists including updating from all returned mail.
  • Manage and maintain basic information on Web site.
  • Negotiate all contracts with hotels, transportation and all other vendors, then serve as primary contact.
  • Coordinate with caterers, make decisions on menus, estimated meal costs, meal guarantees and menu adjustments.
  • Booking arrangements of entertainment, band, speakers, etc. 
  • Manage hotel lists for VIPs, speakers, staffs, interns, plus last minute problems.
  • Review all hotel invoices for adjustments before authorizing payment, reconcile hotel bills and invoice out special events.
  • Contract for and manage AV provider.
  • Contract for and manage airline reservations when required.
  • Manage shipping of all supplies to and from events including warehousing and inventory of all supplies.
  • Create post-conference survey, then compile results and distribute to staffs and/or committees.
  • Manage credit card processing including refunds and other issues.
  • Production or procurement of decorations and other day of event materials.
  • Liaison from staff to hotel and other key vendors.
  • Arrangement for awards, gifts, giveaways, etc.
  • Correspondence to honorees, guests, etc.
  • Coordinate hotel accommodations for overnight guests as necessary.
  • Work with publicity department to coordinate appropriate news releases and media information.
